Fee management

School fee management, from the fee plan to the receipt

Set the fee plan once: terms, categories, a plan per class and concessions per child. The counter takes cash or UPI, prints a numbered receipt and the ledger updates itself.

Families see what is due, what was paid and every receipt in the app and the family portal.

Who it is for

This is for the accounts desk of a school in India that still writes receipts by hand or keeps the fee register in a spreadsheet. Fees in Sckools come with the Pro plan, and the fee plan, the counter, the receipt and the parent’s view all read the same ledger. The office stops reconciling three registers at the end of every term, and parents stop asking the counter how much is left.

What each person does with it

Accounts

Terms, categories and a plan per class are set once. Concessions are added per child. The late-fee rule is written once and applies by itself.

The counter

Cash or UPI at the counter, a numbered receipt printed on the spot, and the ledger updated the same moment. There is no separate day book to keep in step.

The principal

Yesterday’s collections are on the Morning Bell at 7:40. Every figure on the fee dashboard opens to the names behind it.

Families

What is due, what was paid and every receipt, in the app and the family portal. They sign in with a code from the school, so a parent without an email address sees every receipt too. A receipt is never lost in a school bag again.

How a school starts

  1. Your fee heads and plans

Send us your current fee structure. We set up the terms, categories, class plans and concessions with your accounts desk on the call.

  2. We move your data and website, free

Students, classes, staff and fee heads come across from your current system’s export. Your old website stays up until the new one is live on the same address.

  3. We stay on the phone

Through the first week we are on call while your office and teachers start. In the first two months we build the small changes your office asks for, at no charge.

Questions schools ask

Can parents pay fees online?

Not yet. Online payment is being added. Today the counter takes cash or UPI, prints a numbered receipt, and the family sees every receipt in the app.

Can we give a concession to one child?

Yes. Concessions are set per child, on top of the plan for their class.

How do late fees work?

You set the late-fee rule once and it applies on its own.

Which plan includes fees?

Pro. The plan cards on the pricing page list everything in each plan.

Do receipts have running numbers?

Yes. The counter prints a numbered receipt, and the same receipt appears in the family’s app.

Can we see who has not paid?

Yes. Every number on the fee dashboard opens to the names behind it, so the defaulters for a class are one tap away.

Do emails to parents carry our name?

Yes. Every email the school sends goes out on your letterhead, from your own address.

Are parents reminded before a fee falls due?

Yes. Families are told before a bill falls due, and again when a payment is checked and accepted or turned back, in the app, on WhatsApp and by email.

Can each class have a different fee?

Yes. Every class gets its own plan, made of your fee heads and terms, and a child can have a concession on top of the plan for their class.

Can the principal see collections every day?

Yes. Yesterday’s collections are on the Morning Bell at 7:40, and every figure on the fee dashboard opens to the names behind it.

Can a family with two children see both?

Yes. All of a family’s children sit on one shelf in the app, each with their own dues and receipts.

Who can see the fee records?

Only the people your school gives access to. Each school’s data is isolated at the database, access is by role, and a family sees only its own child’s fees and receipts.
