Most schools buy a school ERP once and live with it for years. A good choice saves the office hours every week. A bad one becomes a second job: data typed twice, reports nobody trusts, and teachers who quietly go back to paper. This checklist is what we would ask any school ERP vendor in India, including us, before signing.
What is a school ERP?
A school ERP is the software a school uses to run its records and money in one place: admissions, fees and receipts, attendance, the timetable, exams and report cards, certificates and staff leave. A good one also gives teachers and parents their own app, so the office stops copying the same list into four registers.
1. Start with your school’s day, not the feature list
Write down what actually happens on a normal day. Who takes attendance, and when? Who collects fees, and how is a receipt given? How does a parent find out their child was absent? Where do marks go after a test? A school ERP should make each of those steps shorter. If a demo spends most of its time on screens your school will never open, ask to see your own day instead.
2. One record, used everywhere
The biggest waste in a school office is the same list kept in four places: the admission register, the fee register, the class list and the exam sheet. Ask the vendor: if we admit a child today, which screens already know about them tomorrow? The answer should be “all of them”. A promotion at year end, a fee concession and a transfer certificate should all come from the same record.
3. Teachers and parents must actually use it
A school ERP that only the office opens is half a system. Teachers need attendance and homework on their phone, in a few taps, even when the classroom has weak signal. Parents need to hear about an absence the same morning, see published marks and keep every fee receipt. Ask how a teacher marks the register with no internet, and how a parent signs in without an email address.
4. Check the price model, not just the price
- Per student or per user? Per-teacher seats punish you for hiring. A price per student grows with your fee income.
- What is extra? Hosting, your domain, SMS packs, the parent app, setup, training, updates. Ask for the total for one full year at your size.
- What happens in year two? Ask whether the price is fixed and what changes when you add students.
5. Moving in, and moving out
Ask who moves your current data and whether that costs extra. Ask how long the office will run two systems side by side. Then ask the question most schools forget: if we leave, do we get our data back, in a format another system can read? A vendor who is confident in their product will say yes without hesitating.
6. Children’s data and the law
Under India’s Digital Personal Data Protection Act, 2023, the school is responsible for its students’ data, and the software provider processes it on the school’s behalf (the Act is published by MeitY at meity.gov.in). Ask where the data is kept, whether each school’s data is kept apart from every other school’s, who at the vendor can see it, and whether a parent can ever see another child’s record. Get the answers in writing.
7. Support you can reach
Ask what happens on the first Monday morning when attendance does not open. Is there a phone number with a person behind it? Who trains your office, and for how long? Are the small changes your office will ask for in the first months charged?
8. Ask what it does not do
Every system has gaps. A vendor who lists them up front is easier to trust than one who says yes to everything. Ask directly about transport, hostel, biometric devices, SMS and any board-specific report your school needs.
The school ERP checklist on one page
- Does it shorten our real day: attendance, fees, absences, marks?
- Is every child entered once and used everywhere?
- Do teachers and parents get a phone app they will use?
- What is the full price for one year at our size, with nothing extra?
- Who moves our data, and do we get it back if we leave?
- How is children’s data kept apart and protected?
- Is there a phone number with a person behind it?
- What does it not do?
Questions schools ask
How long does it take to switch to a new school ERP? Expect a few weeks, not a day. The office needs its classes, fee heads and staff set up, and current data moved across. Ask the vendor to keep your old website and records running until the new system is live, so nothing stops during the change.
Do we need a separate app for parents? Not if the school ERP includes one. A parent app that reads the same records as the office means attendance, marks, notices and receipts reach families without anyone typing them again. Check that parents can sign in with a code from the school rather than an email address.
Is a cheaper school ERP always worse? No. Price per student matters less than what it includes and what it leaves out. A low price with paid setup, paid SMS and a paid parent app can cost more in a year. Compare the full yearly total at your school’s size, with every extra written down.
Where Sckools fits
We built Sckools around these questions. The office, teachers, families and the school website share one login, and each child is entered once. It is priced per student per year, with hosting, your domain, monthly updates and support included, and no per-teacher seats. We move your current website and data for free, stay on the phone through the first week, and hand your data back if you ever leave. Transport, hostel, biometric devices and SMS are not built yet, and we say so before you sign.
